C L U B R U L E S

All Members and Guests must comply by these Club Rules at all times. Refusal or continual non-compliance with these Rules may result in the Club user being expelled from the premises and termination of Membership if applicable.

Retrofit London reserves the right to make changes to the Club Rules from time to time, and any changes will be effective immediately.

GUESTS

Guests visiting the premises are required to present some form of photo ID and complete a signed waiver form prior to entry. Guests are to be accompanied by an active member at all times.
Guest passes are sold at Retrofit’s absolute discretion, and availability may be restricted at peak times. All guests are to abide by club rules.
Some membership packages will receive single-use free guest passes to be used by non-members. Guest passes will be valid for 3 months from date of issue.
Guests are not able to book any classes in advance unless arranged via special appointment with the Club.

DRESS CODE

All Club users are expected to wear suitable attire at all times while using Club facilities. Retrofit London considers suitable attire to be: a t-shirt or vest; shorts or trousers suitable for training; and closed shoes suitable for training (with exceptions for certain class activities).
The following are NOT acceptable at Retrofit London:

  • Open shoes or bare feet, unless partaking in certain classes

  • No t-shirt / lack of suitable clothing

  • Jeans or other inappropriate trousers

  • Getting changed in any area other than designated changing rooms

Inappropriate attire can be offensive or intimidating to other Club users, and as such will not be tolerated. Refusal to comply with the dress code may result in the Club user being ejected from the facilities; continued refusal is a breach of the Rules and as such we may terminate the user’s Membership as stated in the Terms and Conditions.

All Club users should use suitable measures to maintain basic standards of hygiene, such as using deodorant, showering if needed, and wearing clean gym attire whilst training.

CONDUCT

All club users must conduct themselves in a respectful manner whilst using the facilities. Any user who acts in an intimidating, abusive, violent or disrespectful manner may be expelled from the Club, and Members may have their Membership terminated with no refund of fees already paid.

During busy periods, Club users are to use only one weights station at a time. All weights and equipment should be replaced correctly after use, and equipment and machines should be wiped down.

Any Club users who are unsure of how to use a piece of equipment should seek instruction before doing so. we will not take any responsibility where a Club user sustains injury from incorrect use of equipment. If any equipment is found to be faulty or malfunctioning, please report this to Retrofit staff immediately and cease using the equipment.

All Club users must comply with any reasonable request from Retrofit staff in relation to health and safety, and to ensure smooth running of the Club.
No Club user may bring external personal trainers to the Club or act as a personal trainer, paid or otherwise. Our Personal Trainers have been confirmed as holding the required certification and insurance, and as such are the only trainers permitted to work in the Club.

No video calls of any kind are allowed on the gym floor or in any classes.

Only food and drink purchased at RetroCafe may be consumed on the premises.

All Club users must refrain from bringing any bags on the gym floor to avoid accidents and injury.

FACILITIES

All Club users must exit the premises no later than the club closing time.
Alcohol and illegal substances are prohibited from being brought into and/or consumed on the premises; any Club user under the influence of alcohol or illegal substances will be refused entrance to the Club. Smoking is prohibited on Club premises at all times, this includes e-cigarettes and vaping.

CLASSES

Our timetables, instructors and classes are subject to change at any time. we will endeavour to provide notice when a class is unable to take place for any reason.

Members are recommended to book in advance to ensure that a class has space for them. Members can book online 48 hours prior. A member cannot book onto classes that overlap each other. we operate with a “two strikes” non-attendance rule, whereby two no shows in any 7-day rolling period will result inability to book into any class for 7 days. A member must cancel a class booking at least one hour in advance of the class to avoid receiving a strike. If a participant arrives late, entry to the class will be denied.

If a class is full a member can book onto a waiting list. An email will be sent confirming the Members place on the waiting list. When a space becomes available members will receive an email and be given the opportunity to book the space on a first come first serve basis. Once on the waiting list Members are committing to attend and could be auto booked into the class up to 1 hour before the class start time. If you decide you can no longer attend, please remove yourself from the waiting list as a strike will be applied in line with our class cancellation policy.

SAUNA

All Club users should thoroughly read the Sauna Safety Poster, on display in each Sauna area, before use. Club users should use a towel whilst in the Sauna, for the health, safety and comfort of other Club users. No other items should be taken into the sauna, including body scrubs, essential oils, books, newspapers or other paper items which can create an hazard.

LOCKERS AND LOST PROPERTY

Club users are required to provide their own lock or can purchase one from reception. We strongly advise all Club users to lock their belongings in a locker at all times that they are using the Club’s facilities. Retrofit takes no responsibility for loss, theft or damage for any items brought into the Club.

For any lockers left locked overnight, Retrofit reserves the right to cut the lock and remove items from the locker. Members will need to see reception to gain access to their belongings. If a member is found to have left their belongings overnight more than once during a 3 months period a recovery fee will be applied to their account, such fee will be donated to a charity of the club choice. Any belongings will be kept in the Club for a period of 14 days, thereafter, the items may be donated to charity.

Any property found left unattended in the Club will be kept for a 14 day period, and then may be donated to charity.

GENERAL HEALTH AND SAFETY

Your health is your responsibility. Our management and staff are dedicated to maintaining a safe environment whilst you train.

We are taking every opportunity to ensure you can continue to enjoy the facilities we offer, with this in mind we have carefully considered how we can work together to ensure you maximize your training whilst ensuring the safety of both you and our staff.

Our Commitment to you

  • We will respect your personal decisions and allow you to make your own decisions about what exercise you can carry out, However, we ask you not to exercise beyond what you consider to be your own abilities.

  • We will make every reasonable effort to make sure that our equipment and facilities are in safe condition for you to use and enjoy.

  • We will take all reasonable steps to make sure that our staff are qualified to the fitness industry standards as set out by the Register of Exercise Professionals.

  • If you tell us that you have a disability which puts you at a substantial disadvantage in accessing our equipment and facilities, we will consider what adjustments, if any, are reasonable for us to make.
    Your commitment to us

  • You should not exercise beyond your own abilities. If you know or are concerned that you have a medical condition which might interfere with you exercising safely, before you use our equipment and facilities you should get advice from a relevant medical professional and follow that advice.

  • You should make yourself aware of any rules and instruction, including warning notices. You should not carry out any exercise or activity which you have been told are not suitable for you.

  • You should let us know immediately if you feel ill when using our equipment or facilities.

  • If you have a disability, you must follow any reasonable instructions to allow you to exercise safely.

PERSONAL TRAINING POLICY

We at Retrofit London welcome certified and insured personal trainers to work with our members. However, effective from 1st January 2023 members will no longer be allowed to bring their personal trainers to our facility or conduct personal training sessions with online trainers while on our premises. No video calls will be allowed on the gym floor.

This policy has been implemented for the following reasons:

  1. Safety: The safety of our members is our top priority. We cannot guarantee the safety of personal trainers who are not certified and insured to work with our members.

  2. Fairness: We have a team of certified and experienced personal trainers available at our facility to help our members achieve their fitness goals. Allowing members to bring their own trainers or conduct online sessions would be unfair to our in-house trainers.

  3. Liability: We are responsible for the safety and well-being of our members and cannot assume liability for personal trainers who are not certified and insured to work with our members.
